Add collaborators whose exact name you know
Always add contributors as if they were real people whose names you know, therefore do not add contributors whose names are concealed or whose person operating on that account is unknown. Thus add only collaborators such as Albert Enistein or Virginia Woolf, and avoid collaborators with names such as Administration Office.
In summary add only contributors from users who have their full name also in the email and who do not use shared email. This way you can always determine who made the changes to the system without having special aliases that hide people's identities.
Uses teams to organize collaborators
Organize collaborators into teams according to the organization's logic. It might be useful to organize resources by the organization's projects (Alpha project team, Gamma project team, ...), by their roles (Project managers, Communication managers, ...) or by their areas (Administration, Marketing, ...).
Always prefer the use of teams over the use of collaborators
When it is necessary to use a team or collaborator in a system function, always prefer to use teams. Organizations tend to design functions and projects regardless of the exact person who will need to have access to functions and data.
One example is in the function of delegating roles and permissions, prefer the use of teams so as to facilitate the assignment of numerous roles and permissions: it is much faster to move an employee between teams than to reorganize all of his or her related roles and resources.
