Manage collaborators

INFO

In order to use this part of the system you need to be a super admin. To get more oinformations abut how to manage super admins ins RevasOS you can read the manage super admins guide.

Collaborators list

The collaborator list contains a table with the names of the collaborators, their user name, and a label that says Super Admin if the collaborator has the highest level of permissions. Clicking on a contributor's user name (labeled @user-name) in the table will take you to the contributor's details.

Clicking the Add coworker button takes you to the screen for adding a coworker.

You can find the detailed guide at the add collaborators quick start.

Configures functions that enable a user to quickly manage their data

To enable features that allow a user to quickly manage their data, you must add their contact with at least their name and email address.

To do this follow these steps:

  1. Add the contact in Contacts;
  2. Return to the contributor management panel;
  3. Click Collaborators from the side navigation bar, then the name of the collaborator;
  4. Click the Edit button from the detail view;
  5. In the Edit Contributor panel, enter the name of the contact in the Associated Contact field, from the drop-down menu of search results click the corresponding contact, and then click Save Contributor.

TIP

The advantage of having separate contact and collaborator The peculiarity of RevasOS of having the master data contact and the collaborator separate allows you to use Revas functions even before the collaborator enrolls. In fact, by creating the contact in the registry, it is possible to start creating tasks, assigning tasks or entering HR data even before the collaborator enrolls: these features in fact are based on the registry contact.

When the collaborator enrolls and an admin links the collaborator to the contact in the registry, the new collaborator will already find all tasks and information ready to be used. And that's not all: in case the collaborator is removed from the organization, if the master contact is not deleted all reporting information, reports, human resource repository, or estimates will not be irreversibly altered because the elimination of the collaborator does not automatically go to delete the contact.

Collaborator's details

Clicking on a contributor's username from the list of contributors will take you to his or her detail page, where you can see his or her contact information and a rundown of the teams he or she is a part of. If the user is a Super admin you will see a purple label that says Super admin under his or her name.

Clicking Edit takes you to the edit screen of a contributor. You can edit his or her internal name and add or remove his or her Super Admin permission by clicking the check mark in the Super admin section.

Clicking the View Advanced Options panel opens the list of operations that can be performed on the collaborator:

  • Delete collaborator opens the elimination panel for the collaborator. Since deletion of the collaborator entails his or her complete exclusion from the system, a confirmation is requested before the actual deletion. Please proceed with caution when deleting an employee, ensuring that you can actually proceed with the deletion or restore it in case of an error.

The list of teams lists all the teams to which the contributor belongs. By clicking the Add to a team button (or in case he/she has not been added to any team, the Add button inside the Team box) you access the screen for adding to teams.

You can find all the details of the procedure for adding a collaborator to a team in the add collaborators to a team quick start.

Clicking the cog at the end of each row in the team table brings up the context panel to remove the collaborator from the team quickly. Clicking the Remove from team opens the panel to remove the collaborator to the team. Since removing the collaborator results in loss of access, confirmation is requested before the actual removal. Please proceed with caution when removing a collaborator, making sure that you can actually proceed with the removal or restore it in case of an error.
