Add new collaborators

Adding a collaborator is the first step in introducing a new user to the organization. You only need the username of the person you want to add. Make sure the username is correct to avoid adding people who should not have access to the system.

Before you begin:

In order to follow this quick start guide, you must have an organization in RevasOS and be a collaborator with super admin privileges.

Find and add collaborators

Enter the management console for system administrators. You can find the Admin app in the store.

  1. Click in the side menu on the Collaborators item, you will find a list of all the collaborators added to the organization;
  2. Click in the upper right on Add Contributor to access the panel for finding and setting up a new contributor;
  3. Enter the contributor's email address to send an email inviting them to subscribe to RevasOS. If the user is already subscribed instead, click Enter username, type the username in the search bar, and select the result that appears in the dropdown. To view the results, the username must be exactly the one entered by the user;
  4. Click Save and proceed;
  5. Configure the basic information of the new collaborator. If necessary, edit the pre-generated name in the Name field and link the collaborator to his or her contact in the master data. RevasOS automatically does a search of the master database and already suggests contacts that could be linked to you. If the collaborator's contact is already among those, click the contact to add it. Otherwise, leave the selection blank: as you proceed with the configuration, a new contact is automatically created with the name you entered and linked to the collaborator;
  6. Click Create New and Proceed if you want to create a contact from scratch or Save and Proceed if you have selected a contact from the list of search results;
  7. If there are teams configured, click the + button next to the team you want to add the contributor to;
  8. Click Save to apply the configuration and return to the list of collaborators, or:
    • Save and configure to go to the edit page of the collaborator you just created,
    • Save and add another to go back to the beginning of the procedure and quickly add a new collaborator.

The advantage of having separate contact and collaborator

The peculiarity of RevasOS of having the registry contact and the collaborator separate allows you to use Revas functions even before the collaborator enrolls. In fact, by creating the contact in the registry, it is possible to start creating tasks, assigning tasks, or entering human resource data even before the collaborator enrolls: these features in fact are based on the registry contact. When the collaborator enrolls and an admin connects the collaborator to the contact in the registry, the new collaborator will already find all the tasks and information ready to be used. And that's not all: in case the collaborator is removed from the organization, if the master contact is not deleted all reporting information, reports, human resource repository, or estimates will not be irreversibly altered because the elimination of the collaborator does not automatically go to delete the contact.
