RevasOS for Employees — HR Self-Service
You arrive at the office and clock in within 3 seconds. During the day you log your hours against a project. Before leaving you request 2 days off for next week. Tomorrow you are traveling? Log the lunch expense in 30 seconds from the app.
This guide teaches you the 4 core actions you will perform every day or every week on RevasOS. No admin access required — it is designed for regular collaborators.
Clock in
Hold your phone near the NFC tag or scan the QR code at your workplace.

The features described in this guide depend on the plan active in your organization. Each section indicates the minimum plan required. If a feature is not visible in your app, your organization's plan may not include it — check with your Admin.
First access — Installation and login
Before you can do anything, you need to install the app and log in to your account.
Download the app (iOS and Android)
The RevasOS app installs directly from the browser — no App Store or Google Play required.
On Android: open the app link in Chrome and tap Install when the browser prompt appears.
On iOS: open the link in Safari, tap the Share button, then Add to Home Screen.

First login
After receiving the invitation from your organization, log in with your Google or Microsoft account. On your first visit the app asks you to set your name, language, and time zone.

Action 1 — Clock in and out
Available from: HR Essential plan
Clocking in is the fastest way to record that you have arrived at the workplace and when you leave. It takes just a few seconds.
Clock in via NFC
If your workplace has an NFC tag:
- Open the Timecards app on your phone.
- Hold the phone near the NFC tag at the workplace.
- The system automatically detects whether you are clocking in or out.
- You immediately see the confirmation screen.
Clock in via QR code
If your phone does not have NFC or the workplace uses a QR code:
- Open the Timecards app on your phone.
- Tap the QR Scanner button.
- Point the camera at the QR code.
- The system registers clock-in or clock-out automatically.
Clock in from desktop
- Open the Timecards app on RevasOS.
- Click New Timestamp.
- Select Clock in or Clock out and the correct workplace.
- Click Save.
What you see after clocking in
After each timestamp you see a confirmation screen showing:
- Your status (clocked in / clocked out).
- The recorded time.
- The linked workplace.
- Certification status (GPS, NFC) — green if valid, red if unavailable.
Note:
When clocking out, the app may ask you for the break duration. You can enter the break start and end time, or select "I did not take a break".

Action 2 — Log hours against a project
Available from: HR Standard plan
In addition to clocking in, your organization may ask you to record which project or task you worked on. This is used for project reporting.
How to open your timesheet
- From desktop: open the Timesheets app, go to My time entries or Calendar.
- From mobile: open the Timesheets app from your home screen and go to the Attendance section.
How to log hours (under 1 minute)
- Tap + (mobile) or click New presence (desktop).
- Enter a description, start time, and end time.
- In the Link a task field, search and select the task or project.
- Select the workplace if required.
- Tap Save.
TIP
If your organization has linked timecards to timesheets, presences are created automatically from your clock-in stamps. In that case you only need to link them to a task.
Quick task reporting
If you work on multiple tasks during the day, use the Quick task reporting view: it shows all your tasks organized by day so you can add hours directly next to each one.
Split a time entry across multiple tasks
If a single work block needs to be split across different tasks:
- Open the entry you want to split.
- Choose Split.
- Search for the tasks and enter hours for each.
- Make sure the total does not exceed the entry duration.
- Click Save.

Action 3 — Request time off
Available from: HR Standard plan
Vacation, sick leave, personal days, and other absences are recorded as absence entries in the Timesheets app.
How to submit an absence
From desktop:
- Open the Timesheets app.
- From My time entries, click New absence.
- Enter a description (e.g. "Vacation week 12").
- Set the start date/time and end date/time.
- Select the absence type from the dropdown (vacation, sick leave, personal day, etc.).
- Click Save.
From mobile:
- Open the Timesheets app from your home screen.
- From My time entries or Calendar, tap +.
- Choose Absence.
- Fill in the fields and select the absence type.
- Tap Save.
Submit multiple days at once
If you need to record consecutive days (e.g. a full week of vacation):
- Create a new absence.
- Below the End date field, tap Want to add multiple entries at once? Click here.
- Set the recurrence to Weekly, select the days, and set the end date.
- Review the summary and confirm.
Check your balance
Open the Reports section in the Timesheets app. The Absence hours and Remaining hours metrics show how many absence hours you have recorded and how many are left compared to expected hours. For full details, review the monthly report.
Note:
The absence types available to you depend on your organization's configuration. If you cannot find the right type, contact your HR Admin.

Action 4 — Submit an expense
Available from: HR Advanced plan
When you incur a work-related expense (lunch while traveling, transport, supplies), log it in the Reimbursements app. Average time: about 30 seconds.
How to log an expense
From desktop:
- Open the Reimbursements app in RevasOS.
- Go to My expenses in the sidebar.
- Click New expense.
- Fill in: amount, date, description.
- (Optional) Link a budget line using the search bar.
- Click Save.
From mobile:
- Open the Reimbursements app from your home screen.
- Go to the My expenses section (left icon in the bottom bar).
- Tap + and select Expenses.
- Fill in the fields.
- Tap Save.
Note:
Entry is manual — automatic receipt or photo scanning is not available. Fill in the fields directly.
Create an expense report for reimbursement
Once you have collected all expenses for the period:
- Go to the My expense reports section.
- Click New expense report (desktop) or + → Expense report (mobile).
- Enter the date: all expenses up to that date will be included.
- Review the list of included expenses.
- Submit the report.
Your Admin will receive it and can approve or reject it. After approval the system automatically generates an invoice and authorizes the reimbursement.
Before you submit:
Once an expense report has been approved or rejected, it can no longer be edited. Make sure everything is correct before submitting.

Viewing your data
Use these views to check your history and make sure everything is in order.
Attendance history
Open Timesheets → My time entries. The list shows all your entries (presences, absences, hours) with date, duration, workplace, and linked task. Use quick filters to change the period (this week, current month, last month).
Hours by project
From the Quick task reporting view you can see all your tasks with reported time and estimated time. Each row shows how much time you have logged and how much is missing.
Monthly report
The Reports section summarizes everything in a single panel:

Personal calendar
The Calendar view shows your entries visually over time. You can also export it in iCal format to sync with Google Calendar, Outlook, or Apple Calendar.
Request status
- Time off: absence entries you submitted are immediately visible in My time entries and on the calendar. If the Admin locks them, you will see the lock icon.
- Expense reports: open Reimbursements → My expense reports to see the status of each report (pending, approved, rejected).
Quick troubleshooting
"My phone won't read the NFC tag"
- Check that NFC is enabled in your phone settings.
- Hold the center back of the phone against the tag (that is where the NFC sensor is on most devices).
- If it still does not work, use the QR code as an alternative — it is equivalent.
- On iPhone, NFC activates automatically; if it does not work, update iOS.
"I don't see the project in the list"
The project or task has not yet been assigned to you by your Admin. Contact your Admin or Project Manager and ask them to assign the necessary tasks in the Projects app.
"My time-off request has been pending for days"
The absence entries you submitted are visible to anyone with the Timesheets manager role. Contact your Manager and ask them to review and lock the approved entries. Locking serves as official confirmation.
"I only see All expenses, not My expenses"
This means you only have the administrator role in the Reimbursements app, not the user role. Contact your Admin and ask them to assign you the Expense report user role.
"I can't edit a time entry I already submitted"
If you see the lock icon next to the entry, it means the Admin has locked it. Locked entries cannot be modified. If there is an error, contact your Timesheets manager to request an unlock.
