How-to set up a project budget
With this guide you will learn how to activate budgeting for a project and create your first budget line.
Before you start
In order to be able to follow this quickstart guide you need to have an organization in RevasOS, be a contributor with the Budget Admin role, and have at least one project already created. You can find more infos in the roles and permissions section.
Activate budgeting for a project
Budgeting is not enabled by default. You need to activate it before you can create budget lines or register expenses.
- Open the Projects app from the RevasOS environment;
- From the Dashboard, select the project you want to configure;
- Select Budget lines from the left sidebar;
- Click on Activate budgeting.
After activation, a default budget line called General expenses is created automatically.
Note
The General expenses budget line is a convenience default. For accurate financial monitoring, it is recommended to replace it with specific budget lines that reflect the actual cost categories of your project.
Budget line fields
When creating a budget line, you will be asked to fill in the following fields:
| Field | Required | Description |
|---|---|---|
| Title | Yes | The name of the budget line. It will appear in the budget lines list and in expense views. |
| Start date | Yes | The date when the budget line period begins. Used to calculate budget health over time. |
| End date | Yes | The date when the budget line period ends. |
| Planned cost | Yes | The estimated cost for this budget line. Can be set to 0. |
| Planned price | Yes | The estimated price (revenue) for this budget line. Can be set to 0. |
| Description | No | An optional free-text description to provide context about what this budget line covers. |
Create a budget line
- From the project dashboard, select Budget lines from the left sidebar;
- Click on + New budget line in the top-right corner;
- Enter the Title of the budget line;
- Insert the Start date and End date for the budget line period;
- Enter the Planned cost and Planned price;
- Optionally, add a Description;
- Click Save.
The new budget line will appear in the Budget lines view of the project.
Tip
Adding a time frame to each budget line allows RevasOS to show more accurate budget health indicators. Budget lines outside their active period will not affect the overall project budget status.
