Review and manage team absences

This quick start explains how a manager or admin can review absences logged by team members, edit them if needed, and lock them to prevent further changes.

Before you start:

You need manager or admin permissions for the Timesheets app. See roles and permissions for details.

How absences appear in the timesheet

Absences are displayed in the same list as all other time entries. They are visually distinguished by:

  • A neutral colour that separates them from regular attendance entries.
  • The absence type label (e.g. "Vacation", "Sick leave") shown alongside the entry.

This makes it easy to spot absences at a glance while reviewing a collaborator's timesheet.

Find absences to review

  1. Open the Timesheets app in your RevasOS environment.
  2. Navigate to the collaborator's timesheet you want to review, or use the team view to see all entries.
  3. Look for entries tagged with an absence type — they stand out thanks to their distinct colour.

Tip:

Use the filtering options to narrow the view and show only absence entries for a specific period or team.

How absence approval works today

In the current version of RevasOS, absences are recorded as already approved the moment a collaborator saves them. There is no pending-approval queue.

As a manager or admin, your role is to review the logged absences and take action if something is incorrect:

Edit an absence

  1. Click on the absence entry you want to modify.
  2. Click Edit.
  3. Update the fields that need changing (dates, times, absence type).
  4. Click Save.

Delete an absence

  1. Click on the absence entry.
  2. Click Edit.
  3. Select the option to delete the entry.
  4. Confirm the deletion.

Lock an absence

Once you have verified that an absence is correct and should not be changed further:

  1. Click on the absence entry.
  2. Click Lock.

A locked absence cannot be edited or deleted by anyone until it is unlocked. This is useful at the end of a reporting period when entries need to be finalised.
